The Opportunity

Baltimore Yearly Meeting of the Religious Society of Friends (BYM) is seeking a full-time Administrative Coordinator to provide essential administrative support and serve as the first point of welcome for individuals contacting the Yearly Meeting.  

The ideal candidate will have a passion for helping things run smoothly through critical, behind the scenes tasks. They have an eye for detail, proficiency with Microsoft Office and Google Suite, and are comfortable interacting with the public to assist individual Friends and Monthly Meetings. The Administrative Coordinator will work with BYM’s constituent database and website, so the ideal candidate will be enthusiastic about flexing their tech savvy and learning new systems and software. The Administrative Coordinator will report to the General Secretary.   

Who We Are

Baltimore Yearly Meeting builds and nurtures a strong and vibrant Quaker community across the southern Mid-Atlantic. We seek to build community, grow in the life of the spirit, discern right action, and bear witness in the world. In addition, BYM serves as the point of connection and collaboration for Friends working on issues of social justice, racism, environmental protection, peace, and more. BYM includes Quaker meetings in parts of Virginia, Maryland, Pennsylvania, West Virginia and the District of Columbia. About 6,700 Friends of all ages, from more than 50 worshipping communities, make up BYM.  

The BYM Office provides technical support to local Quaker Meetings and opportunities for Quakers in our region to work, play, serve, learn, and grow spiritually. We provide a range of programming throughout the year and operate 4 summer camps that serve more than 500 campers annually. The work of BYM is carried out by 9 full-time staff and hundreds of volunteers.

What You’ll Do

Responsibilities include but are not limited to: 

Meeting Support & Secretarial Duties

  • Receive all general inquiry emails and phone calls, responding or forwarding to other members of the team as appropriate
  • Provide Zoom links and other digital support to Friends and Committees upon request
  • Refine and maintain BYM’s Resources for Meetings and serve as central point of contact to help Friends access those resources
  • Purchase and maintain supplies for the office

Database Management, Filing, and Tracking

  • Update constituent records, pull reports, and build mailing lists in Abila/FR50, BYM’s database
  • Maintain and track compliance records for commercial driver’s license (CDL) drivers
  • File finance paperwork at the direction of BYM’s Finance Manager
  • Maintain daily donation entries at the direction of BYM’s Finance Manager

Communications & Publications

  • Compile, build, and send weekly announcements e-newsletter using BYM’s website and email system, FireSpring
  • Act as the Web Manager for the Yearly Meeting to update pages, manage online registrations, maintain events calendar, etc.  
  • Manage quarterly newsletter and annual yearbook publication process including tracking submissions and layout and design (InDesign training can be provided)

Who You Are & Keys to Success (the must-haves)

To be successful in this job, you will excel in four areas:

  1. Tech Savvy: You have experience with a broad range of technology tools including both Microsoft and Google. Whether you need to update the website, manage the constituent database, or lay out the newsletter, you won’t be intimidated to learn new tech systems when provided training. 
  2. Customer Service Orientation: You like working with people and aren’t afraid to ask for help when needed. You have a friendly, can-do attitude that comes across over the phone and over email, but you also know the importance of communicating a “no” kindly, clearly, and directly when something is outside your capacity or knowledge. 
  3. Highly Organized and Detail Oriented: You enjoy building or maintaining systems that help you—and others—stay organized. You can manage a high volume of requests because you plan ahead, troubleshoot, and keep track of details. You catch and fix errors (because nobody is perfect, including you) and turn mistakes into learning opportunities. Because of this, you have a track record of hitting deadlines and leaving things in better shape than you found them.
  4. Commitment to Equity and Justice: You believe that a truly diverse community makes us stronger, wiser, and more just. You recognize the need not only to build a welcoming, integrated community but also to build together, incorporating the voices and lived experiences of all and centering historically marginalized voices. You are comfortable engaging in deep conversations about race and racism. 

Knowledge of Quakerism is a plus but not a requirement.

This is a full-time, exempt position, based in our Sandy Spring, MD office Tuesday through Thursday, with the option to work from home on Mondays and Fridays. Occasional travel, weekend hours, and evening hours will be required. 

The salary for the position is $50,000. Benefits include 3 weeks paid vacation, 11 paid holidays, 403b with generous employer contribution, low-deductible medical insurance currently offered at 100% of premium paid for employees and 50% of premium paid for employee dependents, and sabbatical leave after 7 years service.
